Turn a few rough notes into a polished, on-tone email and refine it until it sounds like you.

The hardest part of most work emails is starting. You know what you want to say, but turning it into something clear and polite takes ten minutes you do not have. ChatGPT can draft it in seconds, and the trick is feeding it the right raw material so the result needs almost no editing.

Step 1: Give it the facts and the goal

Dump your raw notes and state the goal explicitly. The more context you give, the less generic the draft. Specify the recipient, the tone, and the length you want.

Keep it under 120 words. No filler. End with a clear question.

Read the result out loud in your head. If a phrase is not how you would say it, that is the part to fix. Most first drafts are 90 percent there but have one stiff sentence or an overly formal sign-off.

Step 3: Refine the tone in one line

You do not need to rewrite the prompt. Just tell it what to change. Say make it warmer, make it more direct, or shorten the opening. Each adjustment keeps everything else intact.

Step 4: Save a reusable template

If you send the same type of email often, ask ChatGPT to turn the final version into a fill-in-the-blank template. Paste it into a notes app and reuse it directly, dropping ChatGPT only for the tricky ones.

Give it your own examples
Paste two or three emails you have actually written and say match this style. The model copies your sentence length, greeting, and sign-off far better than any tone instruction can describe.
