How to Organize Your Work with ChatGPT Projects
Group related chats, files, and shared instructions into a Project so context carries across every conversation inside it.
Projects are folders for your ChatGPT conversations, but with two extras: shared files that every chat in the project can read, and shared instructions that apply to all of them. They are ideal for keeping a long-running effort, like writing a book or running a job search, tidy and consistent. This guide sets one up.
What you need
- A ChatGPT account (Projects are available on free and paid plans, with higher limits on paid)
- A theme or goal that will span many chats
- Any reference files you want every chat to share (optional)
Step 1: Create a project
In the left sidebar, click the + next to Projects (or New project). Give it a name and a color, for example Q3 Newsletter, and create it.
Step 2: Add project files
Open the project and use its Files area to upload reference material: a brand voice doc, past issues, a style guide. Every chat started inside the project can read these without you re-uploading them each time.
Step 3: Set project instructions
Each project has its own instructions box, separate from your global custom instructions. Put rules here that should apply to every chat in this project but not your other work.
Audience: small-business owners, busy, non-technical.
Tone: warm, direct, no jargon. Short paragraphs.
Always include one clear call to action.
Reference the brand voice doc in project files for word choices to avoid.Step 4: Start chats inside the project
Click New chat from within the project (not the global new chat) so the conversation lands inside it and inherits the files and instructions. The project name appears at the top of the chat to confirm you are in the right place.
Result
Every chat under Q3 Newsletter now shares the same files and voice rules, and they stay grouped together. You can jump between drafting, research, and subject lines without re-explaining the context each time.
